How to Streamline Business Case Approvals Using Power Apps & Automation
Most of the organisations find the process of getting approval for new projects to be slow and frustrating. The traditional methods of managing approvals mostly relying on email exchanges and follow-ups often lead to delays. This in turn, leads to missed deadlines and leave people feeling stuck.
But advancements in the tech world have provided a solution to this in the form of automation. It's not surprising that these tools are greatly helping businesses to streamline approval processes, improve collaboration, and get projects moving faster. Advocating the crucial role of automation in bringing about these changes is Ravi Sankar Thinnati Palanichamy, a seasoned professional in the Project Management Office (PMO).
He has been focusing on making this process faster and more efficient. With years of experience managing projects, he has seen first-hand how slow approvals can affect timelines. He has used tools like Microsoft Power Apps to build a system that makes the approval process quicker and smoother.
Taking a deeper dive into his experience, it's worth mentioning what he found to be the main causes of hindrance. The expert noticed that the biggest problems in the old system were the delays caused by manual work. "My experience has given me insight into the inefficiencies of manual approval processes, particularly the delays caused by email-based follow-ups and disjointed communication between business owners, PMO reviewers, vice presidents, and executives," he highlighted. To this, he added, "From my vantage point, the reliance on manual approvals isn't just a logistical issue it's a cultural one."
Project charters the documents that outline new projects needed to go through multiple people for approval. But this process could take weeks, and this not only slowed things down but also created confusion with different versions of documents floating around.
To fix this, Ravi worked with his team to create a system using Power Apps. "I understand how Power Apps can serve as a customizable front-end platform, integrating seamlessly with project servers and communication tools like Microsoft Teams, to create a unified, transparent process," he stated. This new system automates the workflow, allowing business owners to submit their project ideas and instantly generate project charters. These charters are then routed through an automated process for review and approval, complete with notifications to keep things moving forward.
The main benefit of this new system is speed. The approval process that once took weeks can now be done in just a few days. By automating the process, his team has been able to eliminate delays, allowing projects to start on time and respond to business needs more quickly.
Transparency has also greatly improved. In the old system, there were often multiple versions of the same document being passed around, leading to confusion. Now, everyone has access to the same, up-to-date version of the project charter. This has greatly reduced errors and made the entire process more transparent, which has led to better collaboration across departments.
For the professional, one of the biggest rewards has been seeing a shift in the team's culture. Now, the system handles most of the tedious work, allowing the team to focus on the more important parts of the job, like planning and managing risks. This shift has not only increased productivity but also boosted team morale.
Additionally, decision-making has also simplified. With all project data available in one place, and automated notifications reminding stakeholders to approve the documents, executives and vice presidents can make faster, more informed decisions. This has helped the company prioritize the most important projects and allocate resources more effectively.
To put it together, the success of the project demonstrates just how much impact automation can have. It has already improved approval times, saved administrative hours, and helped the team work more efficiently. With 90% of users actively using the system within the first few weeks, it's clear that people are seeing the benefits.
Looking ahead, it's not puzzling to understand that low-code platforms like Power Apps will be a key part of project management in the future. These platforms allow teams to build custom solutions without needing to rely on a full IT team, making it easier for project managers to take charge of their projects. As more companies adopt automation, these tools will play a big role in improving efficiency and streamlining workflows. So, it won't be wrong to say that automation is a promising turn in improving business case approvals.

PM Wong on five-day official visit to China, to mark 35 years of bilateral relations
[BEIJING] Prime Minister Lawrence Wong will make an official visit to China from Sunday (Jun 22) to Thursday, at the invitation of Chinese Premier Li Qiang, the Prime Minister's Office (PMO) announced in a statement. While PM Wong has previously visited China on many occasions, this will be his first trip to the world's second-largest economy since he became prime minister a little over a year ago. On this five-day trip, he will travel to the capital Beijing, as well as Tianjin. During his stay in Beijing, PM Wong will meet President Xi Jinping, Li – who will also host him at a welcome ceremony and dinner banquet – and National People's Congress chairman Zhao Leji. Zhao is the country's former anti-corruption chief and currently the third most senior official in China's ruling Communist Party PM Wong previously met Li in October last year and Xi a month later, both on the sidelines of multilateral meetings. This week's meeting with Zhao will be his first. PM Wong will also attend a reception in Beijing where he will engage Singaporeans living in China. While there, he will participate in a dialogue session with WEF president Borge Brende and join other foreign leaders attending the event at a dinner hosted by Li. The PMO statement said that PM Wong's introductory visit to China comes as the two countries commemorate 35 years of diplomatic relations and 'reaffirm the mutual commitment' to strengthen bilateral ties. 'It is also an opportunity for leaders on both sides to exchange views on bilateral issues as well as regional and international developments,' the statement added. In an interview broadcast on China's CCTV-13's Leaders Talk programme on Friday, PM Wong said he aims to establish closer ties with Chinese leaders, reaffirm their commitment to enhanced cooperation, and discuss global affairs during his visit. 'I made it a point to visit China almost every year since entering politics, because it is useful to visit regularly, to interact, exchange notes with my counterparts, and to get a sense of how China is moving and transforming,' he said in the interview. Building on longstanding ties Singapore and China established diplomatic ties in 1990, and upgraded relations to an 'All-Round High-Quality Future-Oriented Partnership' in 2023. Leaders on both sides have participated in a steady flow of high-level engagements. On the economic front, China has been Singapore's largest merchandise trading partner for over a decade, with merchandise trade reaching S$170.2 billion in 2024. Meanwhile, China was the city-state's third-largest services trading partner in 2023, with a services trade value of S$64.9 billion. In terms of investment flow, Singapore is also China's largest foreign investor. On the tourism front, Singapore received 3.08 million Chinese visitors last year. The two countries cooperate across various areas, through a variety of platforms. For example, at the deputy prime minister level, they engage via the annual Joint Council for Bilateral Cooperation. Singapore and China carry out three government-to-government projects: the Suzhou Industrial Park; the Sino-Singapore Tianjin Eco-City; and the Chongqing Connectivity Initiative. Other engagements are also conducted through the Investment Promotion Committee; provincial Business Councils; the Guangzhou Knowledge City; the Shenzhen Smart City Initiative; and forums on social governance and leadership. Among those in PM Wong's delegation are Foreign Minister Vivian Balakrishnan; Sustainability and the Environment Minister and Minister-in-charge of Trade Relations Grace Fu; Acting Transport Minister Jeffrey Siow; Senior Minister of State for Foreign Affairs and Home Affairs Sim Ann; and Member of Parliament Syed Harun Alhabsyi. PM Wong will be on leave on Jun 27. In his absence, Deputy Prime Minister Gan Kim Yong will be the acting prime minister until Jun 25, with Coordinating Minister for National Security and Home Affairs Minister K Shanmugam taking on the role from Jun 26 to 27.

‘Ridiculous and frustrating': Jetstar Asia staff blindsided by abrupt layoff notice
[SINGAPORE] Jetstar Asia employees were only informed of their retrenchment at 7 am on Wednesday (Jun 11) – the same morning the public announcement went out. 'It was unexpected – all my managers were also in shock, and they didn't see it coming,' said a cabin crew member, who declined to be named. 'Dropping the bomb suddenly – it's kind of ridiculous and frustrating for us. I was awake from 7 am till now, still trying to process what happened. It's a bit unfair.' The Qantas Group-owned budget carrier sent a press release at 7.22 am to announce it would cease operations on Jul 31, laying off over 500 employees in Singapore. Just before that, some employees were alerted via text to join a townhall, on a crew activation system typically used to mobilise reserve staff. This was followed by e-mails about the retrenchment, and a virtual townhall on Microsoft Teams at 8.15 am. Jetstar Asia's management also instructed staff not to speak to the media, The Business Times understands. Still, the sudden layoff is expected to disproportionately affect employees such as cabin crew, whose basic salaries are supplemented largely through flight allowances, the employee explained. In the employee's case, the base pay amounts to about S$1,000 a month. The employee said that Jetstar Asia's decision to cancel upcoming flights ahead of its Jul 31 closure will further reduce their earnings in the weeks ahead. 'I checked the iChangi app (and) there's a lot of our flights that have been cancelled or re-timed, and I see (that) mine have been mostly cancelled,' the employee added. 'To me, it kind of sucks, because if today has already been cancelled, tomorrow also will be the same thing – until Jul 31, I don't know whether I'm going to do more flights, or fewer flights.' Higher costs Jetstar Asia, which began operations in 2004, cited rising supplier costs, airport fees and aviation charges, along with intensifying regional competition, as reasons for its closure. Customers impacted by the shutdown will be offered alternative flights or full refunds. The impending closure affects 16 intra-Asia routes – including flights from Singapore to Kuala Lumpur, Jakarta, Bangkok and Manila – but will not affect Jetstar's operations in Australia, New Zealand or Japan. Changi Airport Group said Jetstar Asia flew about 180 flights a week and carried 2.3 million passengers in 2024, or roughly 3 per cent of total traffic. Its fleet of 13 Airbus aircraft will be redeployed within the Qantas Group to support growth in Australia and New Zealand. Union support The Singapore Manual & Mercantile Workers' Union (SMMWU) said it was notified of the job cuts and has negotiated with Jetstar Asia to 'ensure that affected members and workers are treated with care and receive fair compensation'. 'The company has committed to providing a comprehensive retrenchment package in line with the Tripartite Advisory on Managing Excess Manpower and Responsible Retrenchment,' it added in a statement. SMMWU is working with the National Trades Union Congress (NTUC) to help affected workers find their footing, said NTUC secretary-general Ng Chee Meng. From next week, NTUC and the Employment & Employability Institute, e2i, will be on-site at Changi Airport Terminal 1 – where Jetstar Asia's office is located – to provide affected workers with direct support, the labour chief said in a Wednesday Facebook post. This will include career coaching, skills upgrading and employability assistance. 'NTUC is also working with our partners to support these workers,' added Ng. 'We are exploring opportunities (with) Singapore Airlines Group, a unionised company, to match affected Jetstar Asia employees, including crew and corporate staff, to suitable roles where possible.'
